I found this job listing for an Administraitve Assistant with a company that is in the industry I want to have a career in – basically a dream job that I can move up in a couple of months…What I want to know is if you can give me some example of how I can write my cover letter for my resume stating that I really want this position, even though it looks like I’m taking a step “down” from Account Exec. to Admin Asst. oh man plz help guys?

Making a career change is never easy, even at “lower” levels of an organization. In this particular case, you’re in good luck because the requirements for an Admin position are usually fairly low (not that it’s an easy job).

Believe it or not, cover letters are going out of style, since the internet has caused companies to be deluged with resumes. Sometimes hundreds or thousands for a single position. Since this position will likely get many resumes due to the low requirements, you could probably skip the cover letter altogether.

However, if the company is asking for it specifically, I would just be honest about your reasons for change, which sound perfectly legitimate to me. Try something like this:

“I’m applying for the Administrative Assistant position at XYZ company, because I would like to move to ABC industries for the following reasons – [name your reasons].

“While in my position of Account Executive, I was able to develop several skills which will make me a viable candidate: [name your skills]”

Now your Acct Exec job is an asset, not a burden. It’s helped you prepare to be an Admin. Of course you will have to elaborate on this with your own words.

I would like to caution you that no one ever moves up “in a couple of months”. If you take this position, be prepared to serve in the role for at least 18-24 months before they consider promoting you. Also, Admins can get easily pigeon-holed, so be careful that you don’t turn this into a career if you don’t want that.

I’m 29 years old, and I have virtually been an executive/admin assistant my entire career life. I graduate from grad school in May 2009. I have no previous supervisory experience. What’s the best way to show jobs that I’m ready to take on more responsibility? What key words should I include on my resume and cover letter?

I would throw in any experience you have of supervising anything. I told an interviewer of a time that I was put in charge of a small group (it was only two people, but it was a group!) and how I successfully completed our assignments on time. You could also put down any kind of management classes on your resume. I have a section on mine that is titled Related Coursework and then I list all of the classes I took that relate to that job. Also, if you have any volunteer experience managing a group, say being a leader of the cub scouts, or teaching a bible group, anything at all, I would mention that as well. I am having a difficult time getting call backs on my resume submissions. I have been an account executive for the last four years but hate my industry so I am trying to go back to administrative work (which I have five years exp). Not to mention I am in the NY area where hundreds and sometimes thousands of resumes get submitted for a posting made on craigslist, career builder or other staffing sites. Is it good to stand out a little in my cover letter to entice the client? i.e. showing my sense of humor with a joke?

You should most definitely use your best attributes to stand out. Better yet, make it happen in the first paragraph or the last of your letter – most employers will only glance at the top or bottom for a few seconds to decide whether or not to even consider reading it.

If you don’t make yourself known amidst the competition, you will be passed over. Be clever and polite but be yourself!

Jokes are only good if you’re very good at them.

An executive resume cover letter is a little different from other cover letters.  You’re applying for a higher position so you must have an impressive resume with a strong background on the position you’re applying for.  What you also will need is an equally impressive cover letter for your resume.  That’s what’s going to sell you for the position.

I would always put together a custom executive resume cover letter.  I wouldn’t use a generic cover letter found somewhere.  Many employers can tell if your letter is generic.  Besides, many already know that they can Google a phrase on the internet and find the letter you’re using.  Not a way to go when applying for an executive position.

Covering your core strengths and past achievements is great for a cover letter.  It shows what you could bring to the table as an employee of the company.  You’ll see many generic cover letters on the internet just touching on past work experience and achievements and though this is important, it’s not the only thing aspect reviewed when, you’re being considered for hire.  You’re employer should be able to get a glimpse of those talents from your letter.

As an executive, you’ll have to display more of those key characteristics discussed in your resume, on your cover letter.  I learned a lot about cover letters while job hunting and the most important part was to be different from the rest of the field.  Invest some time and learn all you can about the company.  Then put it all on display when you write your letter.

To keep it short, an executive resume cover letter is going to be your sales letter to the employer.  I bet you didn’t think you were going to have to be a sales person.  Yet that’s exactly what your letter’s for.  Ultimately it’s marketing that lands the job interview.  It’ll be up to you to close the deal.  See there’s the sales reference again.  Good luck.
